At ScanMark ("we," "our," or "us"), we value your privacy. This Privacy Policy explains how we collect, use, and protect your personal data when you use our attendance tracking platform. By using ScanMark, you consent to the data practices described in this policy.

1. Information We Collect

1.1 User Account Data

When you register, we collect personal identifiers including:

  • For Lecturers: Name, Email Address, University/Department.
  • For Students: Name, Matriculation/Student ID Number, Email Address.

1.2 Device & Location Information

To ensure the integrity of attendance records, we collect technical data when a scan is performed:

  • Device Fingerprint: Browser type and device model (to prevent one student from signing for multiple people on one phone).
  • Geolocation Data: GPS coordinates at the exact moment of scanning.
Why do we need GPS?
We use Geolocation solely for "Geo-fencing." This ensures that a student is physically present in the lecture hall when scanning the QR code. We do not track your location continuously. We only check your coordinates once, at the moment you click "Scan."

2. How We Use Your Information

We use the collected data for the following specific purposes:

  • Verification: To confirm that the correct student is in the correct location at the correct time.
  • Reporting: To generate attendance logs (PDF/CSV) for Lecturers and University Administration.
  • Security: To detect and prevent fraud (e.g., "proxy" attendance).

3. Data Retention

We retain attendance data based on the subscription plan of the Lecturer or Institution:

  • Free Tier: Data is anonymized or deleted after 7 days.
  • Pro/Institution Tier: Data is retained for the duration of the academic semester or session to facilitate grading and disputes.

4. Data Sharing and Disclosure

We do NOT sell your personal data to third-party advertisers.

We may share your data in the following circumstances:

  • With University Authority: Attendance records are academic records. We may share logs with Department Heads or School Administration if officially requested for grading or disciplinary purposes.
  • Legal Requirements: If required by law to comply with a subpoena or legal process.

5. Your Data Rights

You have the right to request a copy of the attendance data we hold about you. You may also request the correction of any incorrect Matriculation Numbers or Names. To exercise these rights, please contact support.

6. Security

We use industry-standard encryption (SSL/TLS) to protect data in transit. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
